Job Description Office Specialist (part-time 28 hrs per week) Job Summary The Office Specialist provides support for outreach events, career assessments, program development, and strategic planning for the University Advisement Center and Academic Support Office. This position also responds to requests for advisement, provides support for student academic improvement plans, holds, and petitions, and also manages the front desk during times the Office Manager is not working. This position ensures that interactions with all students, faculty, staff, and the community are helpful, accurate and meaningful.
What you will be doing in this position: FRONT DESK MANAGEMENT
- Support front desk operations alongside Office Manager, including responding to requests for advisement
- Ensure smooth traffic flow in a high-volume front desk
- Assist with difficult interactions when necessary
- Help maintain front desk training materials and daily communications
SPECIAL PROJECTS / PHYSICAL SPACE
- Open and/or close reception area daily
- Maintain security measures and ensure availability of necessary resources
- Oversee cleanliness and organization of reception space
- Handle confidential document disposal
- Manage office supplies and special event preparation, including outreach events
- Maintain bulletin boards and posters
- Gather and manage reports, including customer satisfaction surveys and front desk service counts
- Maintain and organize filing/storage areas for the UAC
- Oversee holds/flags for Open Major students in AIM
- Supports the processing of academic improvement plans, holds, and petitions associated with BYU academic standing policies
- Update student enrollment to Open Major and send welcome emails
- Manage career assessment intake, printing, and distribution
- Assist Directors and other staff with special projects, program development, and strategic planning as needed
What qualifies you for this role: MINIMUM EDUCATION/EXPERIENCE REQUIRED
-One year experience in an office setting or a Bachelor's degree.
PREFERRED
-Two years' experience in an office setting highly preferred or any combination of work experience and Bachelor's degree.
SKILLS
REQUIRED
-Competency in office skills including Microsoft Word and Excel. Strong interpersonal communication skills.
PREFERRED
-Knowledge of BYU University policies and procedures, majors and minors. Competency in office skills including Microsoft Outlook, Publisher, PowerPoint. Knowledge of AIM and MyMap.
-Project management experience would be a plus.
