PRIMARY RESPONSIBILITIES:

  • Create electronic job files to track communication on HVAC Construction jobs.
  • Reach out to vendors to collect submittal; compile and send to general contractors.
  • Take calls from foremen, vendors, and general contractors to answer any questions.
  • Maintain the shared project coordinator’s email account.
  • Order equipment/material for jobs and keep updated on order/tracking status.
  • Document relevant communication in the electronic job file and relay to foremen, salesmen, and the project management team.
  • Create and track RFIs from the field to the general contractor.
  • Commercial billing prep work for monthly invoicing.
  • Track pending change orders in the job file and relay to appropriate personnel.
  • Maintain and document updates from external management software used by the general contractors, ie) Procore, Submittal Exchange, AutoDesk BIM 360, etc.

QUALIFICATIONS:

  • Exceptional organizational skills with strong attention to detail.
  • Proficient computer skills including Excel, Outlook, and Word.
  • Excellent interpersonal communication and problem-resolution skills.
